1. Who this policy covers
This policy applies to personal information handled by Pacifica Services through this website, business development, onboarding and service delivery. Pacifica's delivery capability includes personnel in Hong Kong and the Philippines. Engagement-specific privacy, confidentiality or data-processing terms may impose additional requirements.
2. Information we may collect
Depending on the relationship, we may collect names, job titles, business contact details, company information, enquiry details, correspondence, service instructions, billing and transaction information, system-access information, and other information reasonably required to scope, administer or deliver services. We may also receive personal information contained in client systems or documents when that information is necessary for the agreed work.
3. Website and technical information
The website or its hosting, form, security and analytics providers may process technical information such as IP address, browser type, device information, referring page, pages viewed, timestamps and security logs. We use this information to operate, secure and understand the website. We do not sell personal information.
4. Why we use information
We may use personal information to respond to enquiries; assess and propose services; onboard and administer clients; perform agreed back-office services; communicate about delivery; invoice and receive payment; manage security and access; keep business records; improve services; investigate complaints or incidents; comply with law; and protect our legitimate business interests.
5. Client-controlled service data
When Pacifica accesses personal information inside a client's systems solely to perform the client's instructions, the client ordinarily determines the business purpose and permitted use of that data. Pacifica uses such information only as reasonably required for the agreed service, applicable law and the engagement terms. Clients should not provide information that is unnecessary for the scope.
6. Hong Kong and Philippines access
Because Pacifica uses Hong Kong- and Philippines-based personnel, information required for service delivery may be accessed from those locations. Clients should identify any data-residency, secrecy, health, financial-services, government, contractual or other restrictions before access is granted. Where required, engagement-specific restrictions can be documented before go-live.
7. Australian client data and cross-border handling
Australian organisations may have obligations under the Privacy Act 1988 (Cth), the Australian Privacy Principles or other sector-specific rules when personal information is disclosed or made accessible overseas. Pacifica does not determine a client's legal obligations. Where a client requires specific contractual protections, access restrictions, subprocessor terms or handling controls, these should be agreed as part of onboarding.
8. Who we may share information with
We may disclose information where reasonably necessary to Pacifica personnel and contractors involved in the service; hosting, form-processing, cloud, IT, security, accounting, banking, payment and professional advisers; client-approved platforms; regulators, courts, law-enforcement or other persons where required or authorised by law; and parties involved in a corporate transaction where lawful and subject to appropriate confidentiality. We do not sell personal information.
9. Security
We take reasonable organisational and technical steps appropriate to the information and engagement. Our preferred operating model is to work inside client-approved systems, use access limited to what the role requires, document approval boundaries and support controlled revocation of access when an engagement changes or ends. No internet or information system can be guaranteed completely secure.
10. Retention
We retain personal information only for as long as reasonably required for the purpose for which it was collected, to deliver and administer services, maintain business and legal records, resolve disputes, enforce agreements or comply with law. Retention may differ depending on the type of information and the client's systems. Where information remains solely in a client-controlled system, the client controls its retention subject to the engagement terms.
11. Access, correction and other requests
You may contact us to ask what personal information we hold about you, request access or correction, or raise another privacy request. Rights and exceptions vary by jurisdiction. We may need to verify identity or authority before acting on a request.
12. Privacy complaints
Privacy concerns should be sent to jenefer@pacifica.services with enough detail for us to understand the issue. We aim to acknowledge a privacy complaint within two business days and investigate it promptly. Where another organisation controls the information, we may refer the matter to that organisation or coordinate with it as appropriate.
13. Data incidents
If Pacifica becomes aware of a suspected loss, unauthorised access, modification or disclosure affecting client information, we will assess the issue and follow the notification and escalation requirements agreed with the client and required by applicable law. Clients remain responsible for any notifications they are legally required to make unless the agreement states otherwise.
14. Marketing communications
We may send business-to-business communications where permitted by law and relevant to the relationship. Recipients may opt out of marketing communications. Operational, contractual, security or billing communications may still be sent where required for an active relationship.
15. Cookies and third-party services
The website may use essential cookies or similar technologies for security, functionality and analytics. Third-party services used by the website may process information under their own terms and privacy practices. We aim to use only services reasonably required to operate the website and enquiry process.
16. Changes to this policy
We may update this policy as our services, systems or legal requirements change. The current version will be published on this page with the last-updated date.
